1. Who we are
Freemanqje Ltd ("Freemanqje", "we", "us") is a private school of leadership registered in England & Wales (company number 12104982), with its registered address at 158 Edmund Street, Birmingham, B3 2HB. We are the data controller for the personal data described in this notice.
For the purposes of the UK General Data Protection Regulation ("UK GDPR") and the Data Protection Act 2018, our supervisory authority is the Information Commissioner's Office (ICO).
2. What personal data we collect
We collect the following categories of personal data:
- Enquiry data — name, email address, telephone (if you provide one), current role, programme of interest and the content of your written enquiry.
- Admissions data — additional information you share during the admissions conversation, including professional history, references and programme preferences.
- Programme data — once enrolled, attendance records, written work submitted, feedback and assessment notes.
- Technical data — IP address, browser type, device type and pages viewed, collected through essential and (with your consent) analytics cookies. See our Cookie Policy.
- Correspondence — emails, letters and any other communication you send us.
We do not knowingly collect data from anyone under 18. Freemanqje admits learners aged 21 and over.
3. Why we collect it — the lawful basis
Under UK GDPR Article 6, we rely on the following lawful bases:
- Consent (Art. 6(1)(a)) — for marketing emails, optional analytics cookies, and to receive your enquiry through the website form.
- Contract (Art. 6(1)(b)) — to deliver the programme you have enrolled in, including teaching, assessment and certification.
- Legitimate interests (Art. 6(1)(f)) — for responding to general enquiries, alumni relations, and the security and improvement of our website.
- Legal obligation (Art. 6(1)(c)) — for accounting records, tax filings and any disclosure required by UK law.
We do not process special category data (e.g. health, ethnicity, religion) unless you voluntarily share it during the programme and have given explicit consent under Art. 9.
4. Who we share it with
We do not sell or rent your personal data. We share it only with:
- Our faculty, instructors and admissions team, on a strict need-to-know basis.
- Trusted processors who help us run the organisation — currently our email host (a UK-based provider), our website host (EEA-based), our payment processor and our accountants. Each is bound by a written data processing agreement that meets UK GDPR Art. 28.
- Public authorities, only where required by law (e.g. a court order or HMRC request).
5. How long we keep it
- Enquiry data — 24 months from your last contact with us.
- Admissions data of unsuccessful applicants — 12 months from the close of the cohort.
- Records of admitted learners — 7 years following the end of the programme, then archived.
- Accounting records — 7 years, as required by HMRC.
- Analytics data — 14 months, then aggregated and anonymised.
6. How we secure it
Personal data is held on UK and EEA-based systems with industry-standard encryption in transit (TLS 1.3) and at rest. Access is limited to named staff. Our laptops are encrypted and remotely wipeable. We carry out a written data protection review annually.
If a personal data breach occurs that is likely to result in a risk to your rights and freedoms, we will notify the ICO within 72 hours and, where required, notify you directly without undue delay.
7. Your rights under UK GDPR
You have the following rights, exercisable at any time and free of charge:
- Right to be informed — this notice is part of that right.
- Right of access (Art. 15) — you may request a copy of the personal data we hold about you.
- Right to rectification (Art. 16) — you may ask us to correct inaccurate or incomplete data.
- Right to erasure (Art. 17) — you may ask us to delete your data, subject to legal retention obligations.
- Right to restrict processing (Art. 18).
- Right to data portability (Art. 20) — to receive your data in a structured, commonly used format.
- Right to object (Art. 21) — to processing based on legitimate interests or direct marketing.
- Rights related to automated decision-making (Art. 22) — we do not make automated decisions about you.
- Right to withdraw consent at any time — without affecting the lawfulness of processing carried out before withdrawal.
- Right to lodge a complaint with the ICO at ico.org.uk or by telephone on 0303 123 1113.
We will respond to any valid request within one calendar month. If your request is particularly complex, we may extend this by a further two months and will tell you within the first month if we need to.

9. Changes to this policy
We review this policy every twelve months. Material changes will be announced on the site and, where you have given us your email address, communicated directly. The version date at the top of this page always reflects the current edition.
Plain-English summary: we collect what we need to talk to you, teach you, and meet our legal obligations. We do not sell your data. You can ask for a copy, correction or deletion of it at any time.
